ENTERING SEARCH CRITERIA DATA

The following is a list of all search criteria and the method for entering each. Note that all matching properties presented on the SELECT SCREEN page, can be sorted by clicking on the header at the top of each column 

OWNER

Enter only the owner's last name. It is not necessary, and in many instances not advisable, to enter the first name with any separations or commas. Entering a partial name will wildcard for any matches. 

PROP ADDRESS NO.


Enter either a single address number or a range in both boxes. It's advisable to choose a range high and low on any address since the assessment record may have the parcel address somewhat different than even the number on the building. Note: for hyphenated addresses, use only the :Street Name search variable searching the entire street. You can then sort your list numerically by the address column header at the top. Do this since a parcel number of ex: '345-349' main street, doesn't necessarily populate as a numeric field.

TAX MAP/ACCOUNT NUMBER

 

 

 

 

 

 

 

 

 

 

It is recommended you use Microsoft Internet Explorer as a browser.  When entering a map/tax number, always input the numbers left justified within the box, using only a certain number of spaces for the numbers/digits. There may be an extra space to the right  (last space) in each box, but leave it blank. In the first box, you will always input 3 digits representing the numbers before the decimal point of the map number. Map number 15 would be input as 015, map 2 as 002, map 278 as 278. The second box should have 3 digits also, but in most cases include an additional zero directly after the decimal point (except within Erie/Monroe Counties, no zero is necessary, see note below). This is necessary as the county/town data includes this additional zero on it’s database. So,when referencing a map and in the lower right corner you see 26.07, it would be input as 026 . 007 split between the first and second boxes. The third box is for the block number and is unique since it needs to contain 4 digits left justified. For block 2 you would input 0002, block 11 would be 0011. The fourth box will be the final box you should use and will contain the parcel/lot number. This box should have 3 digits left justified. Parcel/lot 3 would be 003, parcel/lot 14.112 should be input simply as 014, excluding the additional numbers after the decimal point. Reason being, technically those numbers would go in the fifth box, but it very easy to input these incorrectly since there is no consistent format these last digits in a tax map number line up in the database.  For map number 026.007-0001-014.112 or 26.7-1-14.112, input only 014 in the fourth box. You should always leave the fifth box empty. Another example is when you get the abbreviated (print key) number such as  26.07-1-3 . This should be input in the first 4 boxes as :   026 . 007 - 0001 - 003

Special Situations : 

Erie and Monroe County - Due to the original data format, Towns/Cities/Villages within Erie and Monroe County, do not need the additional 0 after the first decimal in the map number. For instance, map number 14.35 in most counties would be input as  014 . 035  in the first 2 boxes . However, within Erie and Monroe Counties it would be:  014 . 350   .

Wayne County -  Wayne County has a unique map number. Map/Tax number  33119-16-980368 would be input like so:  033 . 119 – 0016 - 980 . 368  .  

As with any tax map numbers, these Special Counties can also be wildcarded using only a portion of the tax map number. 


STREET NAME

Enter only the alphabetic street name, or a portion of it. You will prompted with 4 boxes allowing you to search 4 different streets at once. However, you only need to use one. Never use an ending such as, St., Street, Ave, Blvd., Dr, Drive... since most times the original database does not include this data. Even if it does, the system will search all possible matches by whatever portion of the spelling entered.  

NOTE : Some Streets such as East Henrietta or North Goodman may be stored as E Henrietta or N Goodman. Another example is a name like Route 34. It may have several variations in the original database such as;  rt 34, NYS 34, hwy 34, co rt 34... So, depending on the local tendencies of the assessors, certain routes can be difficult to search on when using the Street Name variable.

 

USE (CLASS CODE) The NYS 3 digit assessment codes are used here. If you do not know the codes use the pull down menu to display the complete list of codes. Choose the codes from the menu.

 

SALES PRICE Sales price is always entered as a range and always in whole dollar amounts with no commas. For example $100,000.00 is entered as 100000

 

SALES DATE (BY MONTH ONLY) The (By Month only) feature allows the user to key in sales transfers which occurred in a particular month/year. For instance, if you wanted all homes with a sales date in May and June in the years 1995 and 1998, you would input 05 to 06 , 1995 to 1998. The search would return only homes with sales dates in the 2 months of May or June, for the 3 years of 1995, 1996, 1997.  This option is popular with insurance and mortgage companies keying in on specific transfer dates.

 

SALES DATE (inclusive range) The (inclusive range) feature provides all sales inclusive from the beginning date to the ending date entered. For instance, if you wanted all sales from August 1, 1999 through March 30, 2000, you would input 08/1999 to 03/2000. The search would return any sales within that 8 month time span

 

NO. OF ACRES Refers to all properties greater than one acre. Enter the range in whole numbers. To search for 3.5 Acres use: 3 TO 4

 

ZIP CODE Refers to mailing zip of the property's owner, not the property's location.

 

HOUSE TYPE (STYLE) Use the pull down menu to choose the house style.

 

SQUARE FOOTAGE Enter a range pertaining to the square footage you wish to search, without commas. For example 2,500 sq. ft. is entered in as 2500.

 

NO. BEDROOMS Enter the number of bedrooms or range in whole numbers. Ex. 2 to 3

 

NO. BATHS Enter the range of the number of bathrooms here. If you are searching for 2.5 baths enter 2 to 3.

 

YEAR BUILT Enter as a range, Ex. 1920 to 1940.

 

MUNICIPALITY Use the pulldown menu to choose the municipality, either town/village/city. The list is specific to the county being searched.
